Privacy Policy

Effective Date: September 2026

This Privacy Policy describes how AIgency handles information in connection with its live-entertainment platform and related services. Please read it carefully.

1.Information You Provide

Depending on how you use AIgency (the “Service”), the information you provide may include the categories below. Not every user provides all of these categories — what you provide depends on your role and the workflows you use.

  • account information, such as your name and email address;
  • Artist, Buyer, Venue, Agent, or other professional profile information;
  • artist profile and onboarding information;
  • Gig information;
  • Applications;
  • Offers and counteroffers;
  • Booking information;
  • Booking Agreements and electronic signatures;
  • communications or information submitted through platform workflows;
  • Media Kit materials, such as photos, audio, video, and documents;
  • external Media Kit share information;
  • tax-related documents, such as W-9 submissions, when the applicable workflow is used;
  • identity-related documents, when the applicable workflow is used;
  • information submitted through invitation or guest-access workflows.

AIgency does not currently collect payment-card or bank-account information, because processing of booking payments and payouts is not part of the current Service.

2.Information Generated Through Use of the Service

AIgency may process information generated through platform activity, such as:

  • account and authentication activity;
  • Gig, Application, Offer, and Booking workflow activity;
  • Agreement status and document events;
  • Media Kit access and share activity;
  • tax or identity document access events;
  • invitation and guest-link activity;
  • timestamps and other operational records necessary to run and secure the Service.

3.Technical Information

When you access the Service, AIgency may receive technical information reasonably necessary to operate and secure the Service, such as IP address, browser and user-agent information, device or request information, and cookies or session information.

4.How AIgency Uses Information

AIgency uses information as reasonably necessary to:

  • provide and operate the Service;
  • create and maintain accounts;
  • support Artist, Buyer, Venue, and Agent workflows;
  • facilitate Gigs, Applications, Offers, Bookings, and Agreements;
  • provide Media Kit functionality;
  • provide authorized tax and identity-document sharing workflows;
  • operate invitations and guest links;
  • authenticate users and secure accounts;
  • send transactional and service communications;
  • troubleshoot and maintain the Service;
  • prevent abuse, fraud, and unauthorized access;
  • comply with applicable legal obligations;
  • improve the Service based on product usage and feedback.

5.How Information Is Shared

A. With other AIgency users when required by the workflow.

Depending on the workflow, this may include:

  • Artist profile information visible through the platform;
  • Gig, Application, Offer, and Booking information shared with the parties participating in those workflows;
  • Booking Agreements shared with the relevant booking parties;
  • Media Kit materials shared through Artist-created external share links;
  • Media Kit access provided to the Buyer associated with a Booking after the applicable Booking Agreement is fully executed;
  • tax or identity-related documents shared with the Buyer associated with the applicable Booking only where the Artist has authorized the relevant sharing workflow.

Having an account, or knowing an Artist's email address, does not by itself authorize access to protected documents, and these materials are not accessible to all users.

B. With service providers.

AIgency may use service providers that help operate infrastructure, authentication, storage, email delivery, hosting, security, and related technical functions, so they can perform those functions on AIgency's behalf.

C. For legal and safety reasons.

AIgency may disclose information where reasonably necessary to comply with applicable law or legal process, to protect the rights or safety of users or others, to investigate abuse or fraud, or to secure the Service.

D. Business transfers.

Information may be transferred in connection with a merger, acquisition, financing, reorganization, or sale of all or part of the business, subject to applicable law.

6.Media Kit and External Share Links

The Media Kit is an important part of the Service, and external share links deserve particular attention:

  • Artists choose which materials to upload.
  • Artists can create external Media Kit share links.
  • Anyone possessing a valid external share link may be able to access the materials exposed through that link without an AIgency account.
  • Artists should share those links only with intended recipients.
  • Artists can revoke supported external share links.
  • Buyers associated with a Booking may receive access to an Artist's Media Kit after the applicable Booking Agreement has been fully executed.
  • Access and download activity may be recorded for security and operational purposes.

7.Tax and Identity Documents

Tax and identity documents are treated as sensitive information:

  • these documents are collected and stored only when users use the applicable workflows;
  • sharing is controlled through the applicable Booking workflow;
  • an Artist must authorize the relevant sharing workflow;
  • access may be recorded for security and audit purposes;
  • users should provide these documents only when necessary for the relevant workflow.

AIgency does not verify the identity of every user, does not validate W-9 or other tax information, does not provide tax advice, and does not guarantee that any document or workflow satisfies any regulatory or compliance requirement.

8.Invitations and Guest Access

AIgency may process recipient email addresses and related invitation and access information to deliver invitations and enable guest workflows.

Guest links should not be forwarded or shared with unauthorized people. If you believe an invitation or guest link has been accessed or used without authorization, you should notify AIgency promptly.

9.Cookies and Analytics

AIgency uses cookies or similar session mechanisms that are necessary for authentication, account sessions, security, and operation of the Service.

AIgency also uses Google Analytics to understand site usage, traffic, acquisition, and product performance. Google Analytics may use cookies or similar technologies to measure this activity. AIgency does not intentionally send names, email addresses, agreement IDs, booking IDs, recipient identities, signature data, or other direct transaction or user identifiers to Google Analytics.

AIgency does not use these mechanisms for advertising or behavioral advertising.

10.Communications

AIgency may use your contact information to send transactional and service communications concerning your:

  • account activity;
  • invitations;
  • Offers;
  • Bookings;
  • Agreements;
  • other platform workflows.

These transactional and service communications are part of the Service and are distinct from any future marketing communications, which are not part of the current Service.

11.Data Security

AIgency uses administrative, technical, and organizational measures designed to protect information. No system or method of transmission or storage, however, can be guaranteed to be completely secure, and AIgency cannot guarantee absolute security.

12.Data Retention

AIgency retains information for as long as reasonably necessary to provide the Service, maintain legitimate business and security records, comply with legal obligations, resolve disputes, and enforce agreements, subject to applicable law. Different categories of information may be retained for different periods.

[Legal / privacy review: formal data-retention schedules per category of information to be established before launch.]

13.User Choices and Requests

You may update certain profile and account information through the functionality available in the Service.

15.U.S. State / International Privacy Rights

[Legal review: jurisdiction-specific privacy rights and disclosures will be finalized based on AIgency's launch markets, users, and applicable law.]
